100% renewal list coverage with AI + human insurance operations
Remolif Co., Ltd. and Toyota Corolla Kagawa Co., Ltd. are using Dyna.Ai to bring AI into auto-insurance renewal and sales support in Japan. The operating model combines high-volume AI outreach, intent qualification, structured information, and human follow-up.
The challenge was not simply to make more calls. Dealership teams needed to work through large renewal lists, manage unanswered calls and callbacks, identify customers ready for further discussion, and keep the workload manageable. At the same time, showroom staff needed accurate product information, required checks, and conversation records without losing focus on the customer.
The companies needed an AI + human model that could automate repetitive work while keeping dealership teams responsible for consultation, judgment, relationships, and conversion.
The challenge
Manual renewal outreach was hard to scale in Japan
Renewal is an important customer touchpoint for automotive dealerships. Traditionally, teams spend significant time contacting customers one by one, handling voicemail and callbacks, and determining which customers need a deeper conversation.
That model creates a capacity problem. Staff may spend most of their time establishing contact before a meaningful insurance discussion begins. Japan's shrinking working-age population makes it increasingly difficult to solve that problem by adding more people.
Dyna.Ai was introduced to help the dealership work through the full renewal list while reserving human capacity for customers who need personal assistance.
The deployment
One AI + human model across renewal and sales support
The solution combines Dyna.Ai Voice Agent for outbound renewal engagement with Agent Builder for conversation logic, verification rules, intent classification, callback handling, structured outputs, and downstream actions.
The workflow connects customer selection, automated outreach, intent recognition, structured data, and human follow-up. AI handles scale and repetitive work. Dealership professionals handle consultation, judgment, trust, and conversion.
How the workflow changed
From customer lists to qualified follow-up
Customers approaching renewal are selected in the dealership's existing systems and passed into the Dyna.Ai workflow. The Voice Agent handles initial contact and manages common real-world situations, including unanswered calls, voicemail, interruptions, callback requests, and someone other than the policyholder answering.
Business rules can be built into the conversation. If the appropriate customer has not been verified, the AI can avoid disclosing sensitive policy information and arrange a suitable follow-up instead.
After each interaction, the system creates a structured record and captures the outcome. Customers can then be grouped by next action: ready for dealership follow-up, requiring contact later, or not currently interested.
This gives the human team a clearer starting point. Staff no longer need to repeatedly work through the entire renewal list before identifying where personal attention is most valuable.
The results
AI supported showroom staff without replacing professional judgment
The collabouration extends into in-showroom insurance sales support. During live dealership conversations, AI can help staff retrieve relevant product information, surface required checks and process reminders, and summarize the discussion into a structured record.
The purpose is not autonomous insurance sales. Registered professionals remain responsible for customer-facing communication, advice, judgment, and final decisions. AI reduces information-search and administrative work so staff can stay focused on the customer.
Human responsibility
100% renewal list coverage with focused human follow-up
Automated outbound engagement enables the dealership to work through 100% of the renewal customer list at scale. Intent qualification then helps distinguish customers who are ready for further discussion, those who need a later callback, and those who are not currently interested.
The result is a more focused operating model: AI expands coverage and organizes the signal, while dealership teams spend more time on conversations where consultation and conversion create the most value.
The same principle applies in the showroom. AI supports retrieval, checks, and documentation; people remain accountable for the relationship and the insurance decision.
